How the Workflow Works

Step 1: The Sales Meeting Ends

The workflow begins automatically when a scheduled Zoom sales meeting is completed.

PlatypusOS retrieves the meeting transcript, recording information, participant details, and the associated contact or opportunity from HubSpot.

Step 2: The Meeting Is Analyzed

PlatypusOS reviews the conversation and creates a structured summary of the meeting.

It identifies important details including:

  • The prospect’s primary goals

  • Current challenges and pain points

  • Requested services or solutions

  • Budget considerations

  • Decision-making criteria

  • Expected timeline

  • Questions or objections

  • Commitments made during the call

  • Agreed-upon next steps

This gives the salesperson a clear record of the conversation without needing to rewatch the meeting or organize handwritten notes.

Step 3: HubSpot Is Updated

The workflow locates the corresponding opportunity in HubSpot and updates the record with the information captured during the call.

This may include:

  • Meeting summary

  • Opportunity stage

  • Estimated deal value

  • Expected close date

  • Customer requirements

  • Next action

  • Follow-up date

The sales pipeline remains current without relying on the salesperson to manually enter every detail.

Step 4: A Personalized Proposal Is Drafted

Using the meeting transcript, HubSpot data, approved pricing, and the company’s proposal template, PlatypusOS creates a first draft of the proposal in Google Docs.

The proposal is tailored to the prospect and can include:

  • A summary of their current situation

  • Their stated goals

  • The recommended solution

  • Project scope

  • Deliverables

  • Timeline

  • Pricing

  • Relevant terms

  • Proposed next steps

The draft is sent to the salesperson for review before anything is shared with the prospect.

Step 5: Follow-Up Tasks Are Created

PlatypusOS creates the necessary follow-up tasks in Asana based on what was discussed during the meeting.

These could include:

  • Review and approve the proposal

  • Send requested materials

  • Confirm pricing with another department

  • Schedule a product demonstration

  • Follow up with another decision-maker

  • Reconnect if no response is received

Each task includes the appropriate owner, due date, and supporting context.

Step 6: The Follow-Up Email Is Written

PlatypusOS drafts a personalized follow-up email in the salesperson’s established voice.

The email thanks the prospect for their time, summarizes the discussion, confirms the next steps, and references the proposal or any additional materials that need to be sent.

The salesperson can review, edit, and approve the email before it is delivered through Gmail.

Step 7: The Sales Team Is Notified

Once the workflow has finished, a notification is posted in the appropriate Slack channel.

The notification includes:

  • The prospect’s name

  • The opportunity status

  • A short meeting summary

  • A link to the updated HubSpot record

  • A link to the proposal draft

  • The next required action

Everyone involved in the opportunity can immediately see what happened and what comes next.
